Save the details when you submit

After submitting an online service request or application, look for a confirmation page, email, text message, or downloadable receipt. It may contain a reference number, a submission date, and an estimate of what happens next. Save these details somewhere you can find them again. If you use a shared device, avoid leaving a copy of the receipt in a public downloads folder.

Before closing the page, check whether the service offers an account dashboard or a separate tracking link. Some services let you check progress with a reference number; others require you to sign in. If you do not receive a confirmation, check your spam folder and look in the portal for a submitted-requests area before sending the form again. Repeated submissions can make a request harder to follow.

Find the right place to check progress

Start from the service provider’s website or an email you are confident came from the provider. Look for labels such as “My requests,” “Applications,” “Track a request,” or “Messages.” If you sign in, use the same account or email address you used to apply. A request may not appear in a different account, even if both accounts belong to you.

Be careful with links in unexpected messages that urge you to act immediately. If a message seems unusual, open the provider’s website yourself rather than using the link, then check for a matching notice in your account. Avoid entering a reference number, password, or personal information into an unfamiliar tracking site.

Read the status and look for an action

Status labels vary between services. “Submitted” or “Received” usually means the system has your request, not that a person has reviewed it. “In review” suggests it is being assessed. “More information needed” means you may need to provide a document or answer a question. “Completed” or “Closed” does not always mean the outcome you hoped for; open the decision or message to see what it says.

Check for a dated update, a message inbox, and any next-step instructions. Read the full notice rather than relying on a short label. If you are asked for a document, confirm what format is accepted and whether there is a deadline. Upload it through the provider’s stated method, then check for confirmation that it was received. Keep a copy of what you sent, if it is safe and practical to do so.

Keep a simple record and follow up

A brief record can make follow-up easier. Note the reference number, submission date, status changes, messages received, and the dates you took action. Store sensitive details in a private place, not in a shared note or a message thread that others can access. If someone is helping you, share only the information they need.

Some portals update slowly or send notifications after the status changes. Check any timeframe given in the confirmation before contacting support. If that time has passed, or an instruction is unclear, use the provider’s published contact channel. Give your reference number and explain the question plainly, such as whether a document was received or what “action required” means. Do not send passwords or one-time sign-in codes to support staff.

Use another route if the portal is difficult to access

Tracking should not depend on being able to use one particular device or screen. If a page is hard to read or navigate, try the provider’s accessibility options, a different browser, or the browser’s zoom controls. You may also be able to use keyboard navigation or a screen reader. If a feature still does not work, note where you got stuck so you can describe the problem when asking for help.

Look for an official phone number, email address, or in-person service point if those options are available. Ask whether you can receive an update in a format you can use. When someone helps you check a request, sign in yourself where possible and sign out afterward, especially on a shared device. The goal is straightforward: confirm that the request arrived, understand whether you need to act, and know how to get an update when the online route does not work.
